About this kit

A complete 90-minute session that turns the start-of-shift meeting into ten useful minutes: five parts, shared roles, an on-time finish and two live practice runs.

Who it is for

  • Supervisors and shift leads who start every shift with their team and want that time to count.

  • Managers of remote, hybrid or field teams who need a huddle that works on a video call, a phone call or in a group message.

  • Small-business owners who run every morning meeting themselves and want their team to share the load.

  • Trainers, HR and L&D professionals who need a ready-to-run huddle session they can deliver this month.

The problem it solves

Most teams already meet at the start of the day. Many of those meetings do not help. They start late because the lead waits for everyone, run long because every topic gets discussed, turn into a list of reminders nobody remembers, and sometimes become the place where one person is corrected in front of coworkers. People stop listening, and on a busy day the meeting quietly stops happening. This kit gives leads a simple ten-minute format with five parts (open, look back, today's plan, one focus, check and close), shows them how to share the roles across the team and keep to time, and lets them practice it twice: once in person and once as a phone or video huddle with a hard moment to handle.

What is inside

The five parts of a huddle: Open (1 minute), Look back (2), Today's plan (3), One focus (2), Check and close (2).

In-person kit

  • Facilitator guide, 48 pages (Word): how to use the kit, session overview and agenda, a plain-language primer on what a huddle is for, the five parts in depth, roles and rotation, hard moments, remote and field formats, examples for five kinds of workplace, answers to the questions participants ask, a preparation checklist, eight timed segments with SAY / DO / ASK / WAIT cues, the Scenario A script, answer keys, the huddle packets at a glance, tricky moments, a 30-day follow-up plan and ways to adapt the session.

  • Slide deck, 30 slides (PowerPoint), with speaker notes that repeat the guide's cues and timing.

Virtual kit

  • Virtual facilitator guide, 38 pages (Word), with a producer cue sheet, polls, chat prompts and the breakout texts for every huddle packet.

  • Producer run sheet, 4 pages (Word).

  • Virtual slide deck, 32 slides (PowerPoint), with PRODUCER actions in the notes.

Workbook and handouts

  • Participant workbook, 22 pages (Word and PDF), including a huddle plan, a first-week focus plan and a 30-day huddle log.

  • One-page job aid: the five parts of a huddle (1 page).

  • Handout 1: Huddle planner, with a filled-in example (2 pages).

  • Handout 2: Six huddle packets with hard moment cards, set in a walk-in clinic, a landscaping company, a customer support team, a catering kitchen, an auto parts store and an accounting firm (3 pages).

  • Handout 3: Look back and one focus, with worked examples and practice (2 pages).

  • Handout 4: Huddle observer sheet with a timing log, for both practice runs (2 pages).

  • Handout 5: Hard moments, and how to run video, phone, written and field huddles (2 pages).

  • Handout 6: Role rotation and weekly huddle planner, with a filled-in example (2 pages).

  • Answer key for the facilitator (3 pages).

How to use it

  1. Read the facilitator guide and complete the workbook yourself (about three hours).

  2. Print the workbook and handouts, and one huddle packet per table.

  3. Run the 90-minute session in person or online. Every step tells you what to do, what to say, what to ask and when to wait. A 60-minute version is included.

  4. Use the weekly planner and the 30-day follow-up plan so the five parts become the way every huddle runs.

No training experience is needed. If you can run a team meeting, you can run this session.

Formats and file types

  • Word (.docx): facilitator guides, producer run sheet, participant workbook. Fully editable.

  • PowerPoint (.pptx): in-person and virtual decks with speaker notes. Fully editable.

  • Fonts: Fraunces and Nunito Sans (free from Google Fonts).

Frequently asked questions

Do I need to be a trained facilitator?

No. The guide gives you timed steps with suggested words, questions and what to listen for. A manager or business owner can run it.

Our team is remote or spread across sites. Will it fit?

Yes. The session teaches video, phone, written and field huddles, and the second practice run is a phone or video huddle. The virtual version runs the whole session online.

We already use the Ten-Minute Huddle Card. Is this the same format?

Yes. The kit uses the same five parts and timings as the R63 Ten-Minute Huddle Card and Planner, and adds the live practice, role rotation, hard moments and remote formats that a card cannot teach.

One price, yours to keep. Licensed for use within your organization.
