About this tool

Teach any task at work in four steps, record each sign-off properly, and see at a glance who on your team is trained on what.

Who it is for

  • Small-business owners with no training staff, who teach new hires themselves

  • Shift leads and supervisors who were hired first and now train everyone else

  • Senior technicians training apprentices in the field

  • Managers who need a record of who is trained on which tasks

  • HR and training staff who want a consistent sign-off process

The problem it solves

Most workplace skills are passed on by a coworker, not a classroom. Experienced staff skip steps they no longer notice, take over when the new hire hesitates, and say "You've got it" after one good try, with nothing written down. A week later nobody knows who was trained on what. This kit gives trainers a simple method, a checklist to follow, a way to write the task down, sign-off sheets, and a tracker that shows the whole team at once.

It is built on Teach a Task in Four Steps, a KA Company method: Show it, Do it together, Watch them do it, Sign off.

What is inside

  • Guide (7 pages): why on-the-job training goes wrong, how to write a task as clear steps, the four steps in depth (what to do, what to say, common mistakes and tips), training by video call, phone and in writing, examples from retail, trades, clinic and remote teams, running sign-offs across a team with a first-month rollout plan, and a worked example from a café

  • Trainer checklist (2 pages): blank and filled in

  • Task breakdown worksheet (3 pages): filled in, plus a blank for up to twelve steps

  • Individual sign-off sheet (2 pages): filled in and blank

  • Team skills matrix (2 pages): filled in and blank, to print

  • Excel skills sign-off tracker: enter your team, your tasks and a simple sign-off log, and the team by skill matrix fills itself in, works out each check-back date and flags tasks only one person can do. Opens with a worked example

  • Editable Word forms: the checklist, task breakdown, sign-off sheet and matrix, each blank and filled in

How to use it

1. Read the guide once.

2. For each task you teach, write a task breakdown, follow the trainer checklist through the four steps, and complete a sign-off sheet.

3. Record each sign-off in the Excel tracker.

4. Once a month, read down each column of the matrix: any task with only one person signed off needs a second person trained.

Formats and file types

  • PDF, 17 pages, US Letter

  • Word (.docx) forms, editable

  • Excel (.xlsx) tracker with drop-down lists and automatic status; works in Excel and Google Sheets

  • Licensed for use within your organization

Frequently asked questions

What counts as signed off?

The employee has done the task correctly, alone and without prompts, at least twice, can explain why the key steps matter, and knows where the written steps are and who to ask. The sign-off sheet records it, and you check back about a week later.

Can I use it for remote staff?

Yes. The guide shows how each step works on a video call, by phone and in writing.

Do I need to set up the spreadsheet?

No. Type your team and your tasks over the example, clear the example log rows, and start logging. The matrix and check-back dates update on their own.
