About this playbook

Stop people learning from outdated guides: a simple, written routine for reviewing, updating, versioning and retiring every piece of training you own.

Who it is for

  • Business owners whose checklists, guides and job aids have grown in number over the years and no one is sure which are current.

  • Office and operations managers who keep the onboarding material, binders and shared drive in order.

  • Shift leads and supervisors who wrote training for their team and now need to keep it accurate.

  • HR and learning professionals with a growing library and no formal maintenance process.

  • Businesses in regulated work, such as clinics, food service and licensed trades, that need to show how training is kept current.

The problem it solves

Training is written once, but the work keeps changing. Prices change, software updates, a rule changes, and the guide that was right last year now teaches the wrong steps. Two versions end up in circulation, nobody knows which is current, and staff stop trusting the material. This guide gives you a ten-step routine and a ready-to-adapt standard operating procedure (SOP): who owns each item, how often it is reviewed, what triggers an update, how versions are numbered and named, how changes are logged, and when content is retired.

What is inside

Content Maintenance and Version Control SOP (PDF, 25 pages)

  • Why training content goes out of date, and the routine at a glance (1 page)

  • The ten steps, each with tips and common mistakes: inventory, owners, review cycles by risk, update triggers and response times, type of change, making the change, version numbers and file names, change log, publishing and telling people, retirement rules (10 pages)

  • How to run a review, with a reviewer checklist and time guide (1 page)

  • Variations for six settings, common mistakes and a first-week plan (2 pages)

  • The Excel tracker explained, tab by tab (1 page)

  • SOP template (2 pages)

  • Sample SOP filled in for a 14-person home services company (4 pages)

  • Change log and trigger inbox examples, a blank change log, a retirement record (template and example) and the monthly check (2 pages)

SOP Template (Word, 8 pages): every SOP section with prompts and example wording, a paper change log and retirement records.

Training Content Tracker (Excel): owner tracker that calculates the next review date and shows each item as Overdue, Due soon, Current or Needs first review; change log; trigger inbox; retirement log; and a summary of what needs attention this month. A second copy comes filled in with the sample company's content.

How to use it

1. Read the ten steps (about 30 minutes).

2. List your training items in the Excel tracker and give each one an owner and a risk tier.

3. Fill in the Word SOP template, using the sample SOP as a model, and have it approved.

4. Run the 20-minute monthly check on the first working day of each month.

Frequently asked questions

Do I need a learning management system or special software?

No. The routine works with a shared drive and the Excel tracker. If you do use a learning management system (LMS), the guide shows where it fits.

We only have a handful of documents. Is this too much?

The guide includes a version for a solo owner or very small team: two risk tiers, one quarterly review block and the same simple tracker.

How long does it take to set up?

The first-week plan in the guide breaks it into five short sessions: list your items, name owners, set up folders, fill in the SOP and book the first reviews.
